Moving office furniture interstate: pallet freight or removalists?
Sending desks, chairs or boardroom furniture interstate? The right option depends on how the furniture is packed, where it is collected and what needs to happen when it arrives.
This guide helps you compare pallet freight with furniture removalists, account for the work at both ends and give Interstate Removalists Co the details needed for a useful quote.

Start with where the furniture needs to finish
A pallet of boxed desks going to a warehouse is a different job from the same desks being carried upstairs, unpacked and assembled in an office. Before comparing interstate transport prices, decide what a successful delivery looks like: goods at a loading dock, cartons inside the building, or furniture ready in the rooms where it belongs.
Pallet freight can be a practical option for suitably packaged furniture moving between sites with an agreed loading and unloading arrangement. Furniture removalists are worth comparing when the load includes assembled desks, chairs or cabinets, or when you need individual pieces handled through a building. Neither service name tells you every inclusion. The written quote needs to do that.
Interstate Removalists Co can assess your enquiry against commercial furniture transport and interstate freight services. Send the furniture list and the receiving site's requirements together, so the transport arrangement can be matched to the actual job.
Pallet freight versus office furniture removalists
Use this comparison to identify the questions to ask. It describes typical service differences, not automatic inclusions in a particular booking.
| Part of the job | Pallet freight enquiry | Furniture removal enquiry |
|---|---|---|
| Furniture condition | Give the packaged dimensions, weight and number of pallets. Confirm the goods and packaging are accepted. | List each assembled or dismantled piece, its dimensions, condition and protection needs. |
| Collection readiness | Identify who packs, palletises, labels and releases the complete order. | Identify who empties furniture, dismantles it if needed and prepares loose components. |
| Loading and unloading | Confirm a suitable forklift, dock or booked tail lift at each end, including access and equipment limits. | Describe the parking point, carrying path, stairs, lift and any unusually heavy items. |
| Delivery endpoint | State the agreed unloading point. Do not assume a pallet delivery includes taking cartons upstairs. | Request the rooms or floors required and confirm placement is included. |
| Set-up work | Arrange any unpacking, pallet disposal and assembly that is outside the freight booking. | Request dismantling, reassembly and packaging removal individually; obtain written inclusions. |
| Timing | Check collection cut-offs, transit arrangements and whether a delivery appointment is available. | Explain lift bookings, staff availability and installation deadlines before a date is confirmed. |
The same furniture order can need a different service
These are planning examples, not completed IRCO jobs or fixed-price offers.
Six flat-pack desks: supplier warehouse to receiving warehouse
The supplier has the complete order packed on suitable pallets, with dimensions and weights available. Both warehouses confirm compatible unloading equipment and opening hours. This is a sensible starting point for a pallet freight quote. Check whether the pallets belong to a hire system, who handles returns and whether the receiving team will unpack and assemble the desks later.
The same six desks: supplier warehouse to a first-floor office
The destination has no forklift and the cartons need to reach individual work areas. A tail lift may address lowering a pallet from the vehicle, but it does not solve the stairs or provide assembly. Compare a freight delivery with separately arranged on-site handling against office furniture delivery and placement. Ask for the complete scope and total cost of each option.
Existing boardroom furniture: office to office
An assembled table, upholstered chairs and a reception cabinet need protection suited to their surfaces and construction. Photograph the table's joints, measure the largest component and check both buildings' lifts. Commercial furniture movers can assess the individual handling; a freight alternative would need an accepted packing or crating arrangement. A glass or stone top deserves its own assessment, even when the rest of the load is straightforward.
If staff belongings, IT equipment and the wider workplace are moving too, describe the full office relocation rather than requesting a furniture-only delivery.

Check whether the furniture is actually freight-ready
“Still in its box” does not establish that an item is ready for interstate pallet transport. Tell the office whether the packaging is original and intact, whether any carton has been opened, and whether the supplier will secure the order for the proposed service.
Keep cartons within a suitable pallet's footprint and use the protection and securing method required by the carrier. Confirm the pallet's condition, load suitability and handling access. Declare goods that cannot have other freight stacked on them; a flat-looking top is not proof that the contents can carry weight.
FedEx's pallet packing guidance explains basic preparation and labelling principles. The requirements for your booked carrier and furniture still need to be confirmed.
Give assembled furniture a piece-by-piece plan
For used office furniture, start with photos and dimensions rather than a single description such as “ten desks”. A modular workstation, a solid timber desk and a sit–stand desk can have quite different preparation needs.
- Desks and workstations: record the model, overall dimensions, screen panels and any removable legs. Keep fixings labelled to the matching item. Follow the manufacturer's instructions before dismantling or disconnecting powered components.
- Office chairs: state how many are assembled, their size and whether they can be stacked according to the manufacturer's instructions. Do not assume upholstered or wheeled chairs are stackable.
- Filing cabinets and storage: ask how they should be emptied and prepared. Secure loose shelves and identify removable keys or fittings. Separate confidential records from the furniture inventory.
- Boardroom tables and reception counters: provide photographs of joins, fragile surfaces and the access route. Confirm suitable dismantling and handling before the collection day.
Blankets protect surfaces; they do not replace appropriate packing or load restraint. If you need the work done for you, request packing and furniture protection assistance. Include furniture dismantling and assembly as a separate task in the enquiry, with product instructions where available.
No forklift at the office? Check the whole unloading path
A tail lift moves an accepted load between the vehicle bed and ground level. It does not automatically include moving a pallet across gravel, up a steep driveway, through a narrow door or into a lift. The operator needs to assess the load, equipment and receiving surface together.
Provide photos from the truck parking position to the handover point. Mention slope, uneven paving, steps, door widths and any restriction on using handling equipment. Confirm the proposed pallet's dimensions and weight against the offered equipment. Our tail-lift freight delivery guide explains what to discuss when either site has no suitable forklift.
For a building delivery, record the lift door opening and internal dimensions, loading dock hours, booking procedure and the path from the lift to each room. A building manager's delivery window is a constraint to assess before booking; it is not a transport appointment until the office confirms it.
Make the supplier handover ready too
Check that every part of the order is released, paid for where required and ready together. Give the collection reference, dispatch contact, actual collection address and opening hours. Ask who will load and what equipment is available. The warehouse and depot pickup checklist helps prevent a booking being made for goods that cannot yet be released.
Compare the cost of the finished job
There is no reliable universal price difference between pallet freight and furniture removalists. Route, packaged size, weight, furniture volume, access and the work requested all matter. A lower transport line can leave you with packing, unloading or assembly to arrange separately.
| Cost or responsibility | Question to resolve |
|---|---|
| Preparation | Who pays for packing, palletising, protection, crating or dismantling? |
| Transport | Does the quote use the final packaged dimensions and weight or the assessed furniture inventory? Are relevant minimums and surcharges included? |
| Site handling | Are tail lifts, carrying distances, stairs, lift bookings and room placement allowed for? |
| Completion | Who unpacks, assembles, removes packaging and deals with pallets or hired equipment? |
| Changes or delays | What happens if goods are not ready, access is unavailable or a second delivery attempt is needed? |
| Quoted total | What is the complete amount, how is GST treated, and which exclusions remain? |
For example, compare “six desks delivered to the loading bay” with the cost of getting those six desks to their rooms and assembled. This makes the decision useful to the people who will receive them, as well as the person approving the purchase.
Tell us what delivery needs to include
You do not need to choose the transport label first. Send us the item list, supplier details, access photos and the work needed at the destination. We can assess the enquiry and explain the proposed service and inclusions.
Make the receiving instructions easy to follow
Give one person responsibility for receiving the order and a backup contact if they will be unavailable. Share the accepted inventory, delivery scope and room plan with that person. Label cartons or wrapped pieces with the room or workstation group, and keep installation instructions with the matching components.
At handover, check the delivered quantities and note visible packaging or furniture concerns with the delivery team. If unpacking or assembly is booked for later, record that distinction rather than treating a carton count as confirmation of a completed installation. Keep photos and delivery paperwork with the order, and contact the office promptly about discrepancies.
Before accepting the booking, read the IRCO terms and conditions alongside your written quote. Any required assembly, special handling or restricted delivery time should appear in the agreed scope.
Prepare your office furniture transport enquiry
Fill in the details you know and mark anything uncertain as provisional. Build a summary, then copy it into your IRCO quote enquiry. This tool does not send a booking or confirm availability.
Office furniture freight and removals questions
Is pallet freight or a removalist better for moving office furniture interstate?
Compare the packaging, access and delivery endpoint. Suitable boxed furniture on an accepted pallet can suit freight between prepared sites. Assembled furniture or delivery through an office may need individual handling. Ask both providers to quote the same preparation, unloading and placement tasks before choosing.
Is pallet freight cheaper than office furniture removalists?
Sometimes, but the transport price alone is not a complete comparison. Include packing, palletising, loading equipment, unloading, room placement, assembly and any service minimums. Ask for the total for your actual furniture and addresses; there is no universal saving that applies to every office move.
Can assembled office desks and chairs travel as freight?
That depends on the carrier and accepted packing method. An assembled item may need suitable boxing, crating or a purpose-made base. Give photos, dimensions and construction details before booking. Furniture removalists can also assess the pieces individually, with the protection and handling included in the written scope.
Does a pallet delivery include taking furniture upstairs?
Do not assume it does. Confirm the agreed unloading point and who moves the cartons beyond it. Stairs, lift use, room placement, unpacking and assembly need to be specified separately if required. A delivery to the building and a completed office installation are different scopes.
Can office furniture be delivered without a forklift?
A suitable tail lift or another handling arrangement may be available, subject to the load and site assessment. Provide the packaged size and weight, parking position, surface, slope and path to the receiving point. Confirm the proposed equipment and unloading method before booking.
Does a tail lift include moving the pallet inside the office?
Not automatically. A tail lift addresses the height difference between the vehicle and the ground. Moving a pallet or individual cartons across the site, through doors or up stairs requires its own agreed handling plan. Explain the full route to the final delivery point.
Do office desks need to be dismantled for interstate transport?
Some do, depending on construction, access and the proposed transport. Supply the model, dimensions and photographs of joins or removable parts. Follow manufacturer instructions and request any dismantling or reassembly at booking. Keep labelled fittings with the correct components.
What dimensions are needed for an office furniture freight quote?
Provide the final packed length, width and height of each handling unit, including the pallet, plus its weight and the number of units. Identify non-stackable or fragile goods. For furniture removals, also provide the item list, assembled or dismantled dimensions and access details.
Can IRCO collect new office furniture from a supplier or warehouse?
IRCO can assess supplier and warehouse collection enquiries. Provide the complete order reference, release contact, pickup address, opening hours, packaged dimensions and loading arrangements. Confirm that all items are ready and authorised for collection before the appointment is booked.
Is office furniture assembly included in the delivery price?
Only rely on assembly when it is specifically included in your written quote. List the products, instructions and tasks required, including any dismantling at collection. Fixed installation or electrical work may need separate trades. Transporting the cartons does not by itself include setting up the furniture.
Can office furniture arrive during a booked lift window?
Give the building window and booking requirements to the office before confirming the transport. Ask whether the proposed service can accommodate them and what arrangements apply if access changes. A lift reservation made by the building is not automatically a confirmed delivery appointment.
What should I send IRCO for an office furniture transport quote?
Send the inventory, photographs, packaged or assembled dimensions, known weights, pickup and delivery addresses, date constraints and site access. Explain the exact endpoint: loading bay, inside delivery, room placement or assembly. Include supplier release details and any packing help you need.
Take the next step with IRCO
Continue with commercial furniture transport for the overall service, freight transport enquiries for suitable packaged loads, or office furniture placement when the handover needs to reach work areas.
